Accommodations

The IRF is pleased to offer accommodations at the host hotel, JW Marriott Marco Island Beach Resort. Complimentary accommodations are available for qualified buyers, confirmed speakers and media representatives, and select IRF Invitational partners as identified in their signed 2021 partnership agreement. Discounted accommodations are available for IRF Invitational partners as identified in their signed 2021 partnership agreement. Please review the complimentary or discounted accommodations information below for more details. For information on pre- or post-event extensions at the host property, click here.

Check-in for all attendees begins at 4:00PM day of arrival. Check-out for all attendees is at 11:00AM on your day of departure. Early check-in and/or late check-out may be requested in your registration profile however are not guaranteed.

Complimentary Accommodations

Complimentary accommodations for eligible attendees are available for up to three (3) nights over the program dates (from June 2-5, 2021). Reservations for complimentary accommodations should be booked directly through your registration profile. All changes related to your reservation will be managed through IRF directly. Please send any changes to your accommodations to registration@theirf.org. Complimentary accommodations include the room and hotel taxes and fees associated with your stay over the program dates. Additional incidentals including premium room service options, voluntary accommodation upgrades (if available), hotel services, etc. are the responsibility of the attendee and must be paid to the hotel directly. Complimentary accommodations are limited to one (1) room per primary attendee. The maximum occupancy is two (2) occupants per room. Invitational guests traveling with the attendee are not eligible for separate complimentary accommodations. Attendees will be required to present a valid credit card upon check-in for incidentals and/or pre- or post-event extensions. Discounted Accommodations

Discounted accommodations for eligible attendees are available at the JW Marriott Marco Island Beach Resort over the program dates, June 2-5, 2021, at the rate of $249.00 USD per night plus tax. Reservations for discounted accommodations should be booked with the property directly using the booking link provided in your registration confirmation email. All changes related to your reservation should be made with the hotel directly. Attendees will be required to provide a valid credit card at the time of booking for the total cost of your reservation and as a guarantee for any incidentals. Your credit card will be verified and stored on file with the property. Individual reservations must be cancelled at least seventy-two (72) hours prior to arrival in order to avoid a Cancellation/No-show Fee equal to one night’s room and applicable taxes. Reservations booked outside of the provided booking link may not be eligible for room amenities related to the program or discounted accommodations at the host property. Reservations must be made by Wednesday, May 5, 2021. Following May 5, IRF is unable to guarantee accommodation in the discounted room block and attendees may be subject to reserving accommodations at the prevailing rate. Incidentals including premium room service options, voluntary accommodation upgrades (if available), hotel services, etc. are the responsibility of the attendee and must be paid to the hotel directly. Discounted accommodations are limited to one (1) room per primary registered attendee. The maximum occupancy is two (2) occupants per room. Invitational guests traveling with the primary attendee are not eligible for separate accommodations at the discounted rate. Registration spaces for the 2021 IRF Invitational are limited. To learn more about registration, cancellation, and inclusions, click on one of the following registration options below:

Hosted Buyer Registration

Prospective hosted buyer attendees must have a current and approved qualification form on file with the IRF prior to receiving an invitation to register for the event. Past attendance without a current and approved qualification form does not guarantee invitation to the event. Registration for hosted buyers includes: 

  • Up to three (3) nights complimentary accommodations at the host property, JW Marriott Marco Island Beach Resort, over the program dates (June 2-5, 2021)
  • Complimentary arrival and departure transfer service to and from Southwest Florida International Airport, also known as Fort Myers Airport (RSW)
  • A full day of accredited education sessions featuring the latest IRF research, case studies, and industry trends
  • Interactive experiences that showcase the offerings of Marco Island
  • Networking and discussion with 400 industry thought leaders

Hosted buyer registration spaces are limited. All registration spaces are available on a first come, first served basis only. An invitation to the event does not guarantee attendance. Qualified, invited buyers must complete their registration in full to guarantee their space. IRF is not responsible for creating, holding, or reserving hosted buyer registration spaces. In the event the program reaches capacity, a wait list will be available.

Hosted buyer attendees will be required to provide a credit card at the time of registration. Your card will be stored and only charged in the event of guest registration or cancellation after the published deadline. For information on cancellation and substitution, please click here.

Partner Registration

Partner representatives are required to return their signed agreement to the IRF prior to being eligible to register for the event. Once your agreement has been returned, the confirmed onsite representatives from the organization will receive their invitation to register from registration@theirf.org.

The registration deadline is Friday, April 30, 2021.

All onsite representatives must have a completed registration profile to participate in Invitational programming of any kind. Incomplete registrations are not accepted and do not guarantee attendance. Please refer to your signed agreement for information regarding your total allotted onsite representatives and additional benefits.

Invitational Guest Registration

Each registered attendee is eligible to bring one (1) Invitational guest for a base fee of $750.00 USD, based on availability. Registered Invitational guests are eligible to participate in all Invitational programming as outlined in the published event schedule including meals, education, networking functions, etc.

Incomplete guest registrations will not guarantee your guest’s space. Your guest should be added directly to your registration profile.

Payment is due in full at the time of registration and will be processed via credit card through the IRF registration system.

Sales representatives of supplier companies, including, but not limited to DMCs, CVBs, Hoteliers, Airlines, etc., are not eligible for participation at the guest fee and must attend the IRF Invitational as a contracted partner representative. Guest spaces are limited. IRF cannot guarantee availability in the event guest spaces sell out. If you intend to bring a guest with you to the program, we encourage you to register your guest as soon as possible through the IRF registration website. Cancellation and Substitution

Hosted Buyer Cancellation and Substitution

In the event of cancellation, notice of your registration cancellation must be received in writing to registration@theirf.org. An IRF staff member will confirm receipt of your cancellation.

Hosted Buyers may cancel without penalty until Friday, April 30, 2021. Following April 30, 2021, hosted buyers who cancel their participation will incur a cancellation fee charged to the credit card on record in the registration system as outlined below:

  • Cancellations received between May 1, 2021, and June 1, 2021, will incur a $300.00 USD cancellation fee. Associated guest fees, if applicable, will not be refunded.
  • Cancellations received after June 1, 2021, will incur a $600.00 USD cancellation fee. Associated guest fees, if applicable, will not be refunded.

Registered hosted buyers who do not provide written cancellation prior to the program start and do not attend the in-person event will be considered “no-shows.” No-show attendees will be subject to a cancellation fee of $600.00 USD. Associated guest fees, if applicable, will not be refunded.

In the event of a cancellation, any guest registration associated with the main attendee’s profile will also be cancelled. Please refer to the guest cancellation policy for information on refunds and cancellation fees for guests.

In the event of cancellation due to unforeseen medical emergencies, hosted buyers must provide formal documentation from and signed by your physician within (10) days of initial outreach to the IRF.

Substitution requests for hosted buyers are available at the discretion of IRF and based on the substitute’s qualifications and industry role. All substitution requests must be made in writing to registration@theirf.org no later than May 10, 2021.

Partner Cancellation and Substitution 

In the event you wish to cancel your participation, please refer to your signed agreement for terms and conditions and contact sponsorship@theirf.org.

Substitution requests for partner onsite representatives are available at the discretion of IRF. All substitution requests must be made in writing to registration@theirf.org no later than May 10, 2021.

Invitational Guest Cancellation

In the event of guest cancellation, full refunds to the original form of payment are available for cancellations received prior to April 30, 2021. Cancellations must be made in writing to registration@theirf.org. Following this date, no refunds will be provided.

Weather and Attire

Marco Island's temperatures average between 88 °F (31°C) and 73°F (23°C) in early June.

You are encouraged to bring sunblock for outdoor activities. A hat and sunglasses are also strongly recommended. You may also want to bring an umbrella or light rain jacket in the event of rain during your time in Marco Island, and a light sweater or jacket for cooler evening or indoor functions.

The Invitational attire is "Resort Casual". For men, we recommend lightweight shorts/pants and a casual button-down shirt or polo for all programming. For women, we recommend lightweight, knee length shorts, skirt, or pants and a casual top for all programming. A light layer for use in the meeting spaces is encouraged as temperatures may fluctuate.

Cabana Day attire for all attendees is comfortable beachwear, to include bathing suit, if you choose.

The health and safety of our attendees, staff, and partners remains IRF’s primary focus during the Invitational. Attendees may be required to wear a face mask at all times during the event. For further information, please refer to the Health & Safety Statement and Code of Conduct.

Additional Terms and Conditions

Code of Conduct

In order to maintain an environment that is considered inclusive and respectful of all IRF Invitational attendees, staff, and partners, all registered Invitational attendees are expected and agree to participate in the Invitational in a manner that adheres to IRF's Code of Conduct.

Our event is dedicated to providing a harassment-free experience for everyone, regardless of gender, gender identity and expression, age, sexual orientation, disability, physical appearance, body size, race, ethnicity, religion (or lack thereof), or technology choices. We do not tolerate harassment of Invitational participants in any form. Harassment includes offensive verbal comments related to gender, gender identity and expression, age, sexual orientation, disability, physical appearance, body size, race, ethnicity, religion, technology choices, sexual images in public spaces, deliberate intimidation, stalking, following, harassing photography or recording, sustained disruption of talks or other events, inappropriate physical contact, and unwelcome sexual attention. Participants asked to stop any harassing behavior are expected to comply immediately. If a participant engages in harassing behavior, IRF may take any action they deem appropriate, including warning the offender or immediate expulsion from the Invitational with no refund.

Participants are expected to respect the host property, partnership displays, physical marketing materials and related collateral, as well as any additional property/vehicle/venue they may encounter while onsite. Participants who cause intentional damages to any items provided by the IRF or our partners may be subject to immediate expulsion from the Invitational with no refund and may be required to provide monetary compensation for damages caused, as deemed appropriate by IRF.

If you are being harassed, notice that someone else is being harassed, or have any other concerns, please contact a member of the IRF staff immediately. IRF staff can be identified as they'll be wearing IRF-branded clothing and/or badges.

Photography and Videography Policy

By registering for the IRF Invitational you understand that you may be photographed, filmed, or videotaped and you hereby give The Incentive Research Foundation (IRF) the unqualified right to take pictures and/or recordings of you and grant the perpetual right to use your likeness, image, photo (collectively, “image”), without compensation, for broadcast or exhibition in any medium and to put the finished pictures/recordings to any legitimate use without limitation or reservation. You hereby waive, release, and forever discharge IRF from and against any and all claims or actions arising out of or resulting from any use of your image. The IRF shall not be obligated to use, and may elect not to use, your image.

Health and Safety Policy, Waiver, and Release of Liability

In the interest of our attendees’ health and safety, the IRF is committed to following industry standards related to COVID-19. As the industry COVID-19 protocols and standards continue to develop, IRF will provide comprehensive information about what to expect onsite during our event. This information will be delivered to attendees no later than April 30, 2021. This may include health and COVID-19 exposure questions as permitted by law and privacy regulations, as well as policies regarding distancing procedures and other health-related measures being instituted during the event. Participants are required to adhere to all health and safety guidelines and policies implemented by the IRF and our partners throughout all portions the program, including guidelines related to COVID-19. IRF will issue attendance guidelines directly to all attendees prior to the event. Participants who do not adhere to the guidelines and policies will be asked to leave the event out of consideration of the wellbeing of all Invitational attendees, staff, and partners.

The Incentive Research Foundation has instituted health and safety measures consistent with CDC and WHO guidance to reduce the risk of coronavirus infection.  Even the most robust measures, however, cannot guarantee that event participants will not become infected with COVID-19.  A certain amount of risk is unavoidable and must be assumed by each participant.  

By registering for the event, you are releasing The Incentive Research Foundation, its staff, partners, employees, and attendees (“IRF”) from all claims, demands, damages, costs, or liability arising from or relating to my participation in this event.   

You agree to forego all right to sue IRF for any reason related to or arising from your participation in an IRF event.

This Waiver and Release of Liability shall be construed broadly to provide a release and waiver to the maximum extent permissible under applicable law.

General Liability Waiver

All registrants will be required to agree to the General Liability Waiver as outlined below in their registration profile. Attendees who do not agree to the General Liability Waiver will not be eligible to participate in Invitational programming of any kind.

I recognize that there are certain inherent risks associated with any activities that I may participate in related to this event, and I assume full responsibility for personal injury to myself and (if applicable) my minor child, and hereby release and discharge Creative Group, Inc, The Incentive Research Foundation or the event partner, or their respective parent, subsidiary or affiliated companies and their respective officers, directors, employees and agents for any injury, loss or damage arising out of my use of or presence upon the facilities or from any activities arranged by Creative Group, Inc and The Incentive Research Foundation whether caused by the negligence of myself, Creative Group, Inc., The Incentive Research Foundation or other third parties providing services in connection with the event. Furthermore, by clicking "I Agree" I am acknowledging and agreeing to the terms, with the full understanding that this liability release applies to all related participants on this registration, including guests.

Be sure to familiarize yourself with the event app before arriving onsite to make the most of your app experience.
