Hosted Attendee FAQs

In consideration of the postponement of the IRF's 27th Annual Education Invitational, IRF has worked to provide a list of frequently asked questions regarding participation over the new dates. Please review the following information or visit the "Attendee Information Page" here for details regarding program updates.

  1. What are the new program dates?
    The 27th Annual Education Invitational will be hosted at the Hyatt Zilara & Hyatt Ziva Cap Cana Tuesday, December 1 – Friday, December 4, 2020. As part of the reschedule, the Invitational will now be a 3-night program but will still include a full day of education, as well as activities, our auction evening and Cabana day.
  2. Why were the Invitational dates changed? 
    Due to the COVID-19 travel restrictions and with the ultimate care and concern for our attendees and partners, the IRF has postponed the Invitational. The support and flexibility of our industry partners has enabled us to make this schedule change and continue to deliver our signature event. The IRF remains dedicated to providing the incentives industry with this forum for education and networking, and we look forward to welcoming our sponsors, buyers, trustees, hosts, media and speakers in December.
  3. If I'm already registered, do I need to re-complete my registration profile to secure my space for the new dates?
    Hosted attendees who completed their registration in full for the original program dates will receive an email from IRF requesting you re-confirm participation in the overall program, your hotel information, and your transfer needs. You must re-confirm your participation by Wednesday, July 15, to maintain your space.

    Hosted attendees who do not re-confirm participation by July 15 will have their registration cancelled by the IRF without penalty. In the event your registration is cancelled by the IRF, your guest fee will be returned (if applicable) and you will be required to re-register in full if you are still interested in participating in the 2020 event.   4. I am no longer able to attend the event:

    •   How do I cancel my registration? 
    Cancellations must be received in writing to registration@theirf.org. Any hosted attendees that do not re-confirm their registration by Wednesday, July 1, 2020 will be automatically cancelled by the IRF. Click here for the full cancellation policy.
     
    •   Do I need to cancel my hotel reservation?
    No, all hotel reservations for the May dates have been cancelled by the IRF. No further action is required on your part.
     
    •   Can someone else from my company attend in my place?
    Substitution requests for hosted attendees are available at the discretion of IRF and based on the substitute’s qualifications and industry role. Please email registration@theirf.org to submit a substitution request and click here for the full substitution policy.
     
    •   Can I roll over my registration to attend the 2021 Invitational?
    Hosted attendee registration invitations for the 2020 Invitational cannot be transferred to future events, including the 2021 Invitational. Information regarding registration for the 2021 Invitational will be distributed later this year.

    •   Will my guest fee be refunded?
    In the event of a cancellation, any guest registration associated with the main attendee’s profile will also be cancelled. Full refunds to the original form of payment are available for guest cancellations received prior to Friday, October 9, 2020. Following this date, no refunds will be provided.   5. What if I have already booked my flights for May? Are you refunding flight or other travel costs?
    We understand that some of our attendees may have already made travel arrangements for the program in May. While IRF does not provide direct credit or reimbursement for travel to/from the event, we encourage you to work with your airline directly for questions related to changing your travel plans. Many airlines have implemented more lenient change and cancellation terms during this time.

    The IRF is pleased to offer flight discounts through trusted airlines partners. Airlines discounts will be posted on the Invitational website as available. Click here for more information on travel and transfers.
  6. How do I update my hotel information/has my hotel information been updated to reflect the new dates?
    All hotel reservations for the May dates have been cancelled by the IRF. You will receive an email from IRF asking you to re-confirm your participation, your hotel information, and your travel needs. At that time, you will be able to provide updated hotel information directly through your registration profile.   3. What is the registration deadline?
    The registration deadline for the 2020 Invitational is Friday, October 9, 2020, pending availability. All hosted attendee registration spaces are available on a first come, first served basis only. Incomplete registrations are not accepted and do not guarantee attendance.   4. How do I complete my registration?
    If your IRF Hosted Buyer Qualification Form has been approved, you will receive an updated invitation to register on June 1. Your unique log in credentials will be included in your updated invitation. At that time, you will be able to access and complete your registration profile by logging in to the registration website.     If you are now able to join us in the Dominican Republic, please email registration@theirf.org to have your profile reset. You will receive an updated invitation to register when registration re-opens on June 1.
