The IRF is pleased to offer complimentary transportation to/from the Grand Wailea, A Waldorf Astoria Resort, and Kahului Airport (OGG) for those arriving Tuesday or Wednesday, June 13 & June 14, 2017, and those departing on Sunday, June 18, 2017.
Please book your flights as soon as possible and update your event registration record with your flight details. Flight details must be received no later than Monday, May 1, 2017. The IRF cannot guarantee that airport transportation will be provided for those who submit flight details after this deadline. Please be reminded that airport transfers will not be provided to/from other Maui airports or properties.
Airport transportation will be provided for yourself and your Invitational Guest. Non-Invitational guests will be eligible to receive complimentary transportation if they arriving on the same flight with you or your Invitational Guest. Non-Invitational guests who are not arriving with an Invitational attendee or confirmed Invitational guest will not be eligible to receive complimentary airport transportation.
If you noted within your event registration that you need a hotel room, one will be reserved for you by the IRF Events staff. Please refrain from contacting the hotel directly. All reservations should be made in your registration profile. If you need to change your hotel reservation, please contact Sibley Guilianelli at email@example.com. A confirmation of your arrival/departure dates will be included within the final event confirmation email. Your final confirmation email will be distributed two weeks prior to the Invitational.
Hotel rooms for hosted buyers at the Grand Wailea, A Waldorf Astoria Resort, are complimentary over the Invitational program dates (June 14-18, 2017). Hotel rooms for sponsors are provided at the discounted rate of $199.00USD (plus tax) per night. Sponsors will be charged for their rooms upon check-in at the hotel.
The Grand Wailea, A Waldorf Astoria Resort, is providing all Invitational attendees the opportunity to extend their stay at the rate of $199.00 (plus tax) for up to 3 nights pre/post the event. Pre/post reservations at the Grand Wailea should be made through your registration profile and are based on availability at the hotel. We are working diligently with the Grand Wailea to accommodate as many extensions as possible, but if you have not already, we encourage you to refrain from making any travel arrangements until an IRF staff member has confirmed the availability of your requested pre/post extension.
If you have elected to reserve a second room within the IRF hotel block, the Grand Wailea, A Waldorf Astoria Resort, has provided the IRF with an additional room reservation rate of $299.00 (plus tax) per night. Attendees who have reserved an additional room are responsible for the additional room charges and will be required to pay upon check-in at the hotel. Please note – additional rooms within the IRF hotel block are extremely limited and available on a first-come, first serve basis.
Approximately six weeks prior to the event, you will receive a pre-trip package in the mail, complete with event details, last-minute instructions, a leave-behind magnet and luggage tags. Please ensure all your luggage (both checked bags and carry-on luggage) is tagged upon your departure for Maui. This will help airport transportation staff and hotel bellmen to property identify your luggage and make sure it gets to your hotel room upon arrival to the hotel.
June weather in Maui is usually quite nice. Daytime high temperature average in the low to mid 80s F and nighttime temperatures only dip into the lower 70s F. On average, June is also the month for the least rainfall levels. Sunscreen and a hat for outdoor activities are recommended.
Attire for all Invitational events is Resort Casual (Men – slacks & casual shirt; Ladies – capris, skirt, sundress, etc).
As all evening events are outdoors and on grass and/or sand, flip flops are welcomed and highly encouraged. Guests are also encouraged to dress in accordance with the theme for each event, where applicable.

REGISTRATION AND CHECK-IN
Once you’ve arrived in Maui and checked into the Grand Wailea, please head to the IRF Registration Area to check-in for the event and receive your registration packet. The IRF Registration Area is located in the Plumeria room, on the Meeting Room Level of the hotel. Attendees and their Invitational guest(s) will receive registration packets, program materials and name badges upon arrival. You will not be permitted to utilize any of the IRF areas or activities until you have picked up your Invitational badge.
The IRF Registration Desk will be open at the following times:

Thursday, June 15, 2017 7:00 am – 5:00 pm HST
Please plan to arrive at the IRF Registration Desk prior to 5pm on Thursday.
FIRST TIME ATTENDEES
A special area will be designated during the Opening Welcome Reception on Wednesday evening for “first-timers”. In this area, first-time attendees are invited to “meet up” with more seasoned attendees to ask questions and gain a better understanding of what to expect during the IRF Invitational.
THURSDAY open evening
On Thursday evening, Wailea Beach Resort will be hosting a wonderful evening reception, with heavy appetizers and food stations. All attendees are welcome to participate in the reception.
Following the reception, some sponsors will be planning dinner outings for their hosted buyers to attend. As a buyer, please do not make your own plans for dinner until you’ve heard from your host sponsor. Sponsors will be reaching out directly to their respective buyers to confirm their participation in the dinners. A Hosted Dinner information desk will be available in the IRF Registration Area, if you have any questions about the Open Evening.
IRF will have one day of Tournament golf on Friday, June 16th, at the Wailea Golf Club. Tournament golf is for hosted buyers and Foursome sponsors only. Guests of an Invitational attendee can request to play in the tournament, but requests will be honored based on availability. Please advise if your guest wishes to play golf and please provide handicap and club rental needs (if applicable). Please ensure your golf bag is properly identified with your name on both the golf bag and your bag cover – we request that you use the branded golf tags that are included in your pre-trip package. For golfers participating in the Tournament, upon your arrival at Grand Wailea, please plan to stow your golf bag in your hotel room until the day of the Tournament. There will be plenty of storage room on the buses for your clubs on the way to/from the golf course. If you prefer to have the Bell staff store your clubs for you instead, you may check them in upon arrival for a $3 charge.
If you are playing in the IRF Golf Tournament, the names of those in your golf foursome will be included in your Registration packet, upon check-in at the Invitational. There will also be a Golf information desk located onsite in the Registration Area during the event for any questions. Foursome pairings are based on the requests submitted during online event registration, as well as the ratio of sponsors and buyers on each team.
The IRF has worked with some of our outstanding partners to provide Invitational attendees with the opportunity to experience Maui through unique on- and off-site activities on Friday, June 16. Friday activity options are still being finalized at this time. Once available, the IRF will send a notice to all attendees. You will then have the opportunity to review, change, or select new activities. Activity spaces are limited. All activities are based on a first-come, first-serve basis.
If you are on a waitlist for an activity, you will receive notification when and if a space opens for that particular activity. Activity selections will be confirmed in your final confirmation email, which you will receive two weeks prior to the Invitational. There will also be an Activities information desk located onsite in the Registration Area during the event.
Bidding for the Live and Silent Auctions will be available online and through the Handbid app. The event mobile app will be available through QuickMobile. Both apps will be available for download in May. Please wait to download the apps until IRF-specific instructions have been distributed.
The Silent Auction will be available for viewing and bidding from 10:00am HST on Wednesday, June 14, through the end of the pre-dinner reception at 7:00pm HST on Saturday, June 17 at the Grand Wailea, A Waldorf Astoria Resort.
The IRF will once again be using the online bidding app platform, Handbid, which you will be able to download to your mobile device and also utilize via iPads located onsite at the event. Through the app, you will be able to input credit card information and payment will be processed directly upon the close of the auction. All bids will be final upon closing on Saturday, June 17 at 7:00pm or as announced by the Auctioneer. You will be automatically notified within the app if you have won an item.
Live Auction vouchers will be available for pick up at the IRF Auction Desk on Saturday morning, June 17. Both Silent and Live Auction vouchers will be available for pick up on Sunday morning, June 18.
The Live Auction will be held at the Fairmont Kea Lani on Friday, June 16. A live auction reception will open the evening inside the ballroom, followed by a post-auction dinner outside on the Lawn. Live auction bidding will take place via auction paddles – you will receive this paddle when you check in for the event and it will include your custom paddle number. Please remember to bring these with you to the Fairmont on Friday evening! At the close of the live auction, payment will be processed for winning bids within the Handbid app. You will be automatically notified within the app if you have won an item. Be sure to stop by the IRF Auction Desk to pick up your auction vouchers Saturday or Sunday at the hotel before you depart for the airport.
