Hotel Reservations and Extensions

All attendees of the 25th Annual IRF Education Invitational are required to stay at the host property, The Grand at Moon Palace Cancun. Please find important information below on reserving your IRF Invitational hotel room. For questions regarding your hotel reservation, please contact Sibley Guilianelli at registration@theirf.org

Hosted Buyers: Hosted buyer attendees of the Invitational are eligible for complimentary accommodations during the Invitational program, between the dates of May 29 and June 2, 2018. You will be able to confirm your check in/out dates for the complimentary portion of your stay directly thought the IRF registration site. Note that these dates MUST be between May 29 and June 2. IRF will book and manage your hotel reservation during the program dates only. You, as the registered event attendee, will be responsible for booking any pre or post extensions outside of the program dates and you will be responsible for payment of these extensions at the time of booking. Pre/post extensions are available at the rate of $340.00 USD/night for a single, $420.00 USD/night for a double, for a Grand Run of House room. The link to book your extension may be found in your IRF registration confirmation email. Please email registration@theirf.org to have your confirmation email resent. 

Please note that, during the official program dates (May 29 – June 2), maximum occupancy for all room types is two (2) people regardless of age. As noted above, your hotel stay as a registered IRF hosted buyer will be complimentary over the program dates. If an additional occupant will be staying in your hotel room with you, that occupant will also receive complimentary accommodations over the program dates if he/she is a registered guest of the Invitational. If the second occupant is not a registered guest of the Invitational, he/she will be subject to an additional rooming fee of $80.00 USD per night, due to the host property directly. This fee will cover the cost of all food, beverage, and other all-inclusive amenities at The Grand at Moon Palace Cancun.  Please note: All occupants must be listed on your hotel reservation regardless of whether or not they are attending the Invitational. Outside the official program dates (before May 29 and after June 2), the maximum occupancy per room is four (4) people regardless of age. Triple and quad occupancy is limited to the number of double/double rooms the resort has available. Rates include all-inclusive access to resort facilities. Additional third and fourth persons per room are an additional $200.00 USD per night. Children ages 4-17, when sharing a room with parents, are $84.00 USD per night per child. Children under 4 are free. Extensions at the IRF group rate are available beginning May 24, 2018 and ending on June 5, 2018. Extensions must be paid in full at the time of booking. The link to book your extension may be found in your IRF registration confirmation email. Please email registration@theirf.org to have your confirmation email resent. If you intend to extend both pre AND post extensions, you will need to make two (2) separate reservations using the link in your registration confirmation email. Rooms must be booked within the IRF group block using the link provided in your IRF confirmation email. A credit card must be provided and will be charged for the complete cost of extension at the time of booking.

Cancellations made between 180 and 91 days prior to the event will be charged 50% of reserved stay. Cancellations made between 90 and 61 days prior to the event will be charged 75% of reserved stay. Cancellations made 60 days or less, prior to the event will be non-refundable. The deadline to reserve your room in the IRF block is April 29, 2018. Please note that pre/post rooms are subject to availability and discretion of the host property. 

Sponsors: Sponsor attendees of the Invitational are eligible to receive the group rate of $300.00 USD/night for a single Grand Run of House, $380.00 USD/night for a double Grand Run of House between the dates of May 29 and June 2. Pre/post extensions are available at the rate of $340.00 USD/night for a single Grand Run of House, $420.00 USD/night for a double Grand Run of House and subject to availability and discretion of the host property. Additional third and fourth persons per room are an additional $200.00USD per night. Children ages 4-17, when sharing a room with parents, are $84.00 USD per night per child. Invitational guests

As a registered attendee of the Invitational, you are invited to bring one (1) Invitational guest at the additional fee of $750.00 USD for participation in the full Invitational program. Your guest must be registered through the IRF registration website. This guest must be 21 years of age or older and not an employee of any hotelier, DMC or airline. Guests under the age of 21 are not permitted to attend Invitational activities of any kind. Guest spaces are limited. Please register your guest as soon as possible to guarantee their attendance. Payment is due at the time of your guest’s registration. Incomplete registrations will not be accepted. Registration/Cancellation

Attendees of the Invitational must be registered in full to participate at the program. Incomplete registrations of any kind will not be accepted and do not guarantee attendance in the event you have not registered by the registration deadline or before the program has sold out. 

Hosted Buyers: As a hosted buyer of the IRF Invitational, your registration space is complimentary. Hosted buyer registration spaces are limited and available on a first come, first served basis only regardless of the date your invitation was received. In the event you need to cancel your Invitational registration, you will be able to cancel without penalty prior to the deadline of April 13, 2018. After April 13, you, as the primary registrant, will be subject to a $200.00 cancellation fee charged to the credit card on file. After April 13, no refunds (full or partial) will be granted for guest registrations. If you are unable to attend the Invitational and would like to submit an individual for substitution, please email Sibley Guilianelli at registration@theirf.org to submit the substitute's name, title and organization. All substitution requests must be made by 11:59pm EST on April 29, 2018. Substitution requests are not guaranteed and are approved at the discretion of the IRF based on factors including, but not limited to, substitute’s qualifications, event capacity, etc.

Sponsors: In the event you need to cancel your Invitational registration, please do so by April 13, 2018. In the event you need to cancel registration for your guest(s), you are eligible for a full refund through April 13, 2018. No refunds (full or partial) will be distributed after this date. If you are unable to attend the Invitational and would like to submit an individual for substitution, please email Sibley Guilianelli at registration@theirf.org to submit the substitute's name, email address, company and title. All substitution requests must be made by 11:59pm EST on April 29, 2018. Substitution requests are not guaranteed and are approved at the discretion of the IRF based on factors including, but not limited to, substitute’s qualifications, event capacity, etc. Please review your IRF Invitational Sponsor contract and information guide for more details regarding registration substitution. Cancellation of your onsite registration does not effect your required donation, sponsorship fee, etc. as outlined in your IRF sponsorship contract.

Airport transfers to/from The Grand at Moon Palace Cancun and Cancun International Airport (CUN) will be provided for all registered attendees of the Invitational, as long as flight information is provided to the IRF by April 29, 2018Please note that transfers to/from locations other than Cancun International Airport (CUN) and The Grand at Moon Palace Cancun are unable to be accommodated by the IRF and are the sole responsibility of the attendee.  Please book your flights as soon as possible and update your event registration record with your flight details. We encourage you to visit our travel information page by clicking here. This page will provide general travel information to/from Mexico as provided by the Mexican tourist agency, U.S. Department of State and Canadian International Travel agency. Please note: When traveling internationally you may be required to obtain a visa or documentation in addition to your passport. Please visit your local tourist office or department of international travel for more information about specific requirements. 

What to expect when arriving at the airport: During your flight to Mexico, you will receive/fill out a Customs form. Visitors also must present a completed Immigration Form, one for each passenger. The Immigration officer will provide a copy that you will need to keep with you during your trip, as it has to be returned when leaving the country.

Once at the airport, following Immigration, you may retrieve your luggage and proceed to Customs to hand the form to the Customs Agent. You may be required to have your bags inspected at this time – if so, officials will perform a quick, courteous inspection and you will be on your way. 

After you’ve completed the Immigration and Customs process, keep walking straight through the glass doors and do not stop to speak with any promoter within the terminal. Transportation staff will be waiting outside the terminal holding a sign with your name or the official logo of the event.  

Tagging your luggage: Please be sure to tag your luggage (both checked bags and carry-on luggage) with the enclosed luggage tags, prior to your departure for Cancun. This will help airport transportation staff and hotel bellmen to properly identify your luggage and make sure it gets to your hotel room upon arrival to the hotel. Please also be sure to tag your golf clubs with the enclosed golf bag tag, if applicable.



Weather

Daytime high temperature average in the mid to upper 80s F and nighttime temperatures only dip to around 75 F. Sunscreen and a hat are recommended.

 


Attire

Attire for all Invitational events is Resort Casual. As many evening events are outdoors and on grass and/or sand, flip flops are welcomed and highly encouraged. Guests are also encouraged to dress in accordance with the theme for each event, where applicable. Please see the event website for more information.



Activities and golf pairings

Destination activites will be held on Wednesday, May 30. Activity options will be available for selection in March 2018. You will receive an email directly from IRF with instructions on selecting your activity option once they are avialable. Activity spaces are limited. All registered Invitational attendees, including registered Invitational guests are welcome and encouraged to participate in a destination activity. To view a full list of the destination activity options, please click here

If you are participating as a golfer in the IRF Invitational Golf Tournament, the names of those in your golf foursome will be included in your Registration packet, upon check-in at the Invitational. There will also be a Golf Information Desk located onsite in the Registration Area during the event for any questions. 



Mobile Apps

Bidding for the Live and Silent Auctions will be available online and through the Handbid app. The event mobile app will be available through QuickMobile. Both apps will be available for download in May. Please wait to download the apps until IRF-specific instructions have been distributed.
